Welcome to StayHQ GPS. This Privacy Policy explains how StayHQ ("we," "our," or "us") collects, uses, shares, and protects location and workforce data through our mobile application and cleaner portal.

Core Notice Regarding Background Location Data: StayHQ GPS is a workforce management and dispatch tool. We collect precise location data (including background location when the app is closed or not in use) to enable active shift tracking, verify arrival at cleaning properties, calculate mileage, and ensure cleaner safety.

1. Information We Collect

When you use the StayHQ GPS mobile application or cleaner portal, we collect the following types of information:

Precise Location Data (GPS): We collect your real-time latitude and longitude while you are clocked in to an active shift. This includes background location data collected when the app is running in the background, closed, or not in use, provided you are currently clocked in. Location tracking automatically ceases when you clock out of your shift.
Account & Workforce Information: Your name, email address, phone number, cleaner ID, and assigned properties provided by your employer or administration team.
Operational Logs: Shift clock-in and clock-out timestamps, cleaning start/end times, travel mileage estimates, and photo proof submissions uploaded during job completion.
Device Information: Mobile device model, operating system version, app version, and battery status (to alert dispatchers if GPS tracking is interrupted by device power loss).

2. How We Use Your Location Data

Your location data is collected exclusively for legitimate workforce management and operational dispatch purposes:

Active Shift Verification: To confirm that cleaners are active on their route and arriving at assigned property locations on schedule.
Route Optimization & Dispatch: To assist administrators in assigning emergency cleanings or property inspections to the nearest available workforce member.
Mileage Calculation: To accurately calculate travel distances between property cleanings for expense reports and compensation.
Safety & Support: To locate workforce members in case of emergency or vehicle breakdown during active work hours.

We DO NOT sell, rent, or share your location data with third-party advertisers, data brokers, or external analytics companies.

3. Background Location Tracking Disclosure

Because cleaning staff travel between multiple properties and frequently lock their phones or switch between navigation apps while driving, foreground-only GPS tracking is insufficient. Therefore, StayHQ requests ACCESS_BACKGROUND_LOCATION and runs a foreground service with a persistent notification while you are clocked in.

You maintain full control over tracking: location collection only occurs between clicking "Clock In" and "Clock Out". When you are clocked out, the background location service is entirely terminated.

4. Data Storage, Security & Retention

All location and workforce data is transmitted securely using SSL/TLS encryption and stored on secure cloud databases with strict access controls restricted to authorized administration personnel.

Retention Timeline: Routine GPS trajectory points and location logs are retained for a period of up to 90 days for payroll verification, mileage accounting, and client audit purposes, after which they are automatically anonymized or permanently deleted from active servers.

5. Account & Data Deletion Rights

You have the absolute right to request the deletion of your cleaner account and all associated personal data, including historical GPS location logs and photo submissions.

To initiate account and data deletion immediately:

Visit our dedicated online deletion portal: Delete Account & GPS Data.
Submit an in-app deletion request via the Account & Data Deletion option in the cleaner portal settings.
Email our data privacy officer directly at info@spiderwebhosting.net with the subject line "Account Deletion Request".

Upon verification, your login credentials will be revoked immediately, and all associated GPS tracking history, shift logs, and personal identifiers will be permanently purged from our active systems within 7 business days.

6. Changes to this Policy

We may update this Privacy Policy periodically to reflect app updates or regulatory changes. You will be notified of any material changes via an in-app banner or email notification before the updated policy takes effect.
